Quocirca’s 2024 Analytics Landscape report takes a deep dive into the analytics solutions provided by MPS providers and independent software vendors (ISVs) and highlights those at the forefront of developing sophisticated analytics platforms. These platforms are designed to provide customers with a comprehensive view of various aspects of operation, including device efficiency, maintenance metrics, print and scan usage patterns, environmental performance and safety. Vendors with strong MPS portfolios are already using data for assessment, optimization and monitoring to develop and implement cost-effective MPS solutions. Many have expanded their offerings to include workflow analytics, advising organizations on how they can replace inefficient paper-based processes.

Predictive maintenance is a common feature of MPS, but it is becoming smarter and able to integrate with processes such as automated parts ordering and consumable sourcing. Suppliers support maintenance commitments with AI-powered solutions that ensure engineers always have the necessary parts and information to complete their task, while also minimizing the number of visits and time required to maintain optimal levels of fleet performance.

Monitoring analytics provide insight into device usage and health, and SIEM integration ensures devices are managed as part of an organization’s overall security strategy. Content analytics that scan documents for sensitive data before printing can be integrated into rule-based solutions that restrict printing of sensitive documents to authorized users. Likewise, analyzing the content of scanned documents allows data classification tools to automatically set security levels when data enters a client’s information system.

According to Quocirca research, two-thirds of customers believe it is important that print service providers help them measure the environmental impact of printing. This can be achieved through a variety of devices and policies, from print management solutions that save paper and energy, to monitoring energy consumption and automatically implementing energy-saving modes. MFPs are also often equipped with environmental monitoring sensors that collect temperature and humidity data that can be incorporated into building information management systems for additional analysis and action. Some vendors and independent software vendors offer sustainability assessments that compare current performance and identify areas for improvement. This is valuable for organizations that are subject to regulations such as the Corporate Sustainability Reporting Directive (CSRD) and therefore need to demonstrate strong control over their environmental impact and demonstrate progress towards targets.
